Trip Booking

Booking Procedures

These trips are for enrolled postgraduate students at Cardiff University.  A postgraduate student may bring one guest, who can be an undergraduate or a non-student.  If the guests are immediate family members, there is no restriction on numbers.

Other individuals who are eligible to use the Graduate Centre (e.g. Cardiff staff, alumni, visiting researchers) may buy tickets if any remain unsold on the Wednesday prior to the trip.

How to Book

All trips must be booked and paid for in advance.  Students may buy tickets for other postgraduates, but must complete a separate booking form for each postgraduate attending.  Forms can be downloaded from the right menu in advance or collected from sale locations.

You may have a refund if you cancel at least two weeks before the trip date or if we are able to resell your ticket to someone on the waiting list.  We cannot guarantee that there will be a waitlist nor that we will re-sell your ticket.  There will be no refunds for cancellations made the day before the trip or for 'no-shows' on the day.

We need a minimum number of participants to run these trips.  We may cancel a trip if the minimum is not achieved by 10 days prior to departure, with full refunds given.  In practice, the majority of trips are sold-out.

Students may bring their children on most trips and must purchase a seat for the child regardless of their age.  If the child is under 1.36m in height, you must provide and use an appropriate car seat or booster seat.  Your child will not be permitted to travel without the use of such a seat and we will not refund your money if you are refused transport because you fail to provide a seat.

Normally, we are not able to offer a reduced price for children for the transport element of the ticket.  However, if there is an admission charge as part of the price, we are usually able to obtain a child price.

You will be provided with the schedule of the day when you purchase your ticket.  You must be at the designated departure points at the designated times.  We cannot wait for students who do not appear on time to depart from Cardiff and your money will not be refunded if you miss the departure.  If you intend to take the transport only one-way, please inform us when you buy your ticket or notify the trip attendant on the day.

Unless otherwise stated, the trips include only transportation to and from the destination.  You can choose what to do in the city, and we provide information to help you plan your day.  Where entry tickets are included, you must be at the entry point at the designated time.

Adverse Weather Conditions

We will cancel a trip only if we judge that it will be unsafe to travel.  We will attempt to reschedule the trip and offer participants the choice of attending the rescheduled date or receiving a refund.  If you choose not to attend a trip because of poor weather forecast, we will not refund your money.

In line with the University's Health & Safety Policy, you are expected to take reasonable care for your own health and safety, for that of your guests under the age of 18, and for that of other persons who might be affected by your actions (or lack of them); and you must cooperate with any instructions given about health and safety on the trip.

Neither the University nor the coach company exercise supervision during your visit to the destination.  In the event of an accident, illness or other serious problem during the trip, you should notify the trip attendant, who will in turn notify Cardiff University staff.
